1. General Provisions

1.1. Scope of Application This Returns and Complaints Policy (hereinafter referred to as the “Policy”) applies exclusively to purchases made by business entities (B2B), i.e., entrepreneurs or individuals conducting business activities who purchase goods for purposes directly related to their business or professional activities. 2K-Trade Sp. z o.o. may accept orders via the Internet (e.g., through the website, email); however, such orders are intended exclusively for business customers (B2B). 1.2. Purchases by Individuals 2K-Trade Sp. z o.o. does not conduct remote (online) sales for consumers (individuals purchasing goods for purposes unrelated to business activities). If an individual (consumer) wishes to purchase goods, they may do so only through a personal visit to the office of 2K-Trade Sp. z o.o. The terms of purchase (price, quantity, deadlines, etc.) will be determined individually. 1.3. Legal Basis This Policy takes into account generally accepted trade norms, selected requirements of European law, and the specific nature of 2K-Trade Sp. z o.o.’s operations. Individual provisions may be modified if required by the law of the country in which the client is registered or where the delivery is executed. 1.4. Validity and Acceptance of the Policy By placing an order via the website or email, you declare that:
  • You are acting as an entrepreneur (a legal entity or a self-employed individual) and are purchasing goods for business or professional purposes.
  • You have read and accept the terms of this Policy.
  • The Policy is available on the website of 2K-Trade Sp. z o.o. and is binding for all business customers (B2B) making a purchase from our company.

2. Return Conditions (B2B) 2.1. Unconditional Returns 2K-Trade Sp. z o.o. does not accept unconditional returns of goods after shipment unless the conditions specified in this Policy apply (quality defects or assortment errors). Business customers (B2B) are not entitled to the consumer right of returning goods without providing a reason, as provided in consumer protection regulations. 2.2. Exceptions (Complaints) Complaints are accepted only in the following situations:
  • Quality defects: Factory defects or other damages not caused by the buyer.
  • Assortment errors: Receiving a different product or quantity than ordered.

3. Complaint Submission Procedure 3.1. Complaint Submission Deadline If quality defects or assortment discrepancies are detected, the buyer is required to promptly (typically no later than 5–7 calendar days from the receipt of goods) submit a written complaint (via email) to the seller. 3.2. Submission Format and Contact Address All complaints should be directed to the following email address: support@2k-trade.com. The subject line should read: “Complaint for Order No. ___ from ___,” appropriately filling in the order number and date of order/receipt. 3.3. Complaint Content The complaint should include:
  • The order number and date,
  • The name and quantity of the complained product,
  • A description of the detected defects or assortment discrepancies,
  • Photographic or video documentation (especially in case of damaged packaging or the product itself).
3.4. Further Verification 2K-Trade Sp. z o.o. reserves the right to request additional information from the Buyer and, in justified cases, to conduct an expert assessment or product inspection (with the participation of a company representative or an expert).

4. Complaint Processing and Compensation 4.1. Processing Time The standard complaint processing time is up to 14 calendar days from the moment 2K-Trade Sp. z o.o. receives all necessary information for complaint evaluation. 4.2. Possible Resolutions If a complaint is deemed valid, 2K-Trade Sp. z o.o. may offer:
  • Replacement of the product with an identical or equivalent one,
  • Partial or full refund, including product price and possible transportation costs,
  • Another solution agreed upon with the Buyer (e.g., a discount on the next order).
4.3. Complaint Rejection If the complaint is rejected, the company will provide the Buyer with a written (email) response, including the rationale for the decision.

5. Packaging and Transport for Returns (Accepted Complaints) 5.1. Product Security If the product must be returned (for replacement or expert assessment), the Buyer is responsible for properly packaging it to prevent additional damage during transportation. 5.2. Transport Costs If the complaint is deemed justified, shipping costs (return and re-delivery) are usually covered by 2K-Trade Sp. z o.o. If the complaint is found to be unjustified, transportation costs may be charged to the Buyer.

6. Responsibilities of the Parties 6.1. Buyer’s Responsibilities Upon receiving the goods, the Buyer should immediately check their conformity with the order (quantity, assortment) and ensure that there is no visible damage. When accepting goods from a courier/transport company, the Buyer must inspect them in the presence of the carrier. If damages are found, a damage report must be written jointly with the courier immediately. If such a report is not prepared at the time of receipt, 2K-Trade Sp. z o.o. reserves the right to refuse consideration of damage complaints, as the company will be unable to pursue claims against the carrier. 6.2. Responsibilities of 2K-Trade Sp. z o.o. The company undertakes to process complaints promptly and provide an official response to the Buyer. If the complaint is deemed valid, 2K-Trade Sp. z o.o. will fulfill all obligations related to compensation or product replacement.

7. Restrictions for Individuals 7.1. Online Sales 2K-Trade Sp. z o.o. does not process online orders from consumers (individuals not engaged in business activities). 7.2. Purchase at the Office If a consumer (individual) wishes to purchase our products, they may do so only through a personal visit to the office of 2K-Trade Sp. z o.o. The terms of such a transaction (price, quantity, warranty, etc.) are determined individually. 7.3. No “Consumer” Remote Returns Statutory consumer rights (e.g., the right to withdraw from a contract within 14 days without providing a reason) do not apply to B2B transactions.

8. Final Provisions 8.1. Public Availability of the Policy This Policy is published on the official website of 2K-Trade Sp. z o.o. and is binding for all business customers who decide to make a purchase from our company. 8.2. Dispute Resolution All disputes regarding the interpretation or application of this Policy shall be resolved through negotiations. If an agreement cannot be reached, the parties may refer the matter to the competent court in accordance with applicable law and jurisdiction clauses. 8.3. Invalidity of Specific Provisions If any provision of this Policy is deemed invalid or inconsistent with mandatory legal provisions, the remaining provisions shall remain in force and binding for the parties.
